SaasPilot takes the details you give it and turns them into a clear, numbered setup guide tailored to your business. Here's exactly what happens, step by step.
Start by selecting your software from the list of supported tools. In beta we cover 11 platforms — the ones small businesses, freelancers, and growing teams use most: HubSpot, Notion, Slack, Xero, Asana, Trello, Zapier, ClickUp, Monday.com, and Pipedrive, with more added regularly.
If you're not sure which tool to start with, go with whichever one you've been putting off. The one you bought three months ago and still haven't properly configured. That one. SaasPilot is built for exactly that situation.
This is the part that makes SaasPilot different from any documentation or tutorial you've found online. You fill in a short form — it takes about two minutes — covering: what your business does, how many people are involved, what you're trying to achieve with this tool, and any specific constraints or workflows you already have in place.
You don't need to be technical. You don't need to know what "CRM pipeline stages" are or how webhooks work. Just describe your situation the way you'd explain it to a knowledgeable colleague. SaasPilot translates that into the right configuration steps automatically.
The more context you give, the more specific your guide will be. A freelance consultant and a five-person product team both using HubSpot have very different setup needs — and SaasPilot produces a completely different guide for each.
Once you submit your context, our AI gets to work. It combines what you've told us with deep knowledge of the tool's setup process — its settings, workflows, integrations, and common configurations — and produces a guide written specifically for your situation.
This isn't a template with your name dropped in. The guide reflects the actual configuration path for someone in your position: the specific fields to fill in, the settings to toggle, the integrations that are relevant to your stack, and the order that makes sense for your workflow. Steps that don't apply to you simply aren't in your guide.
Generation takes roughly 90 seconds. You'll see the guide appear on screen as it's being written — so you can start reading while the rest loads.
Your guide is readable in the browser, easy to print, and structured so you can work through it step by step without jumping between tabs or pausing a video every thirty seconds. Each numbered instruction is specific — not "configure your settings" but "click the gear icon in the top right, select Workspace, and under Team Permissions set the default role to Member."
When you reach the end of your guide, your tool is set up and ready to use. Not "started" — done. You know what everything does, why it's configured the way it is for your business, and how to get your actual work done with it.
If you ever need a guide for a different tool, or want to revisit a setup with updated business context, generating a new guide is just as quick. Your previous guides are saved in your account.
Every SaasPilot guide contains the same core structure — tailored content, clear format, nothing wasted.
Your guide opens with a clear list of numbered steps in the exact order you should complete them. No ambiguity about where to start or what comes next. The sequence is built around your specific workflow and goal — not a generic "Day 1, Day 2" plan.
Where a generic guide says "configure your notifications," yours says exactly which notification settings to turn on, which to leave off, and why — based on how you told us your team works. Every instruction names the specific button, field, or menu item you need.
If you told us you use Xero for accounting and Slack for team communication, your HubSpot guide will include setup steps for those integrations. If you didn't mention them, they won't be in your guide. You get what you need — not a list of every possible connection.
Each significant configuration choice includes a brief note on why it's set the way it is for your situation. You'll understand your setup, not just follow it blindly. That means you can adapt it later without having to regenerate from scratch.
At the end of every guide is a short checklist — typically five to eight items — confirming that the key pieces of your setup are in place. Tick them off and you know your tool is properly configured and ready for real use.
Every guide you generate is saved in your SaasPilot account. Come back to it on any device, share it with a team member who needs to follow the same setup, or use it as a reference when you're onboarding someone new to your tool.
Everything you need to know before you generate your first guide.
Not at all. The questions you answer are written in plain English and ask about your business, not your tech stack. You describe what you do and what you're trying to achieve — SaasPilot handles the translation into specific configuration steps. If you can describe your job to a new colleague, you can use SaasPilot. The resulting guide is written the same way: no jargon, no assumed knowledge, just clear numbered instructions.
With BYOK (Bring Your Own Key), you connect your own Anthropic API key to SaasPilot. You can then generate unlimited guides — you pay Anthropic's API rates directly, which typically works out to a few pence per guide. This is the best option for agencies, consultants, and anyone who generates guides regularly. With Hosted Pro, you don't need an API key — SaasPilot handles everything and charges £39 per guide. This is ideal for occasional use or if you'd rather not set up an Anthropic account. There's also a free trial that lets you generate your first guide at no cost to try the product.
SaasPilot's guides are built on current knowledge of each supported tool, and we update our underlying knowledge regularly as tools release significant changes. That said, software does evolve — a button might be in a slightly different location, or a menu might have been renamed. The core configuration logic in your guide will always be correct; minor UI details may occasionally be a step behind. If you ever hit a step that doesn't match what you see on screen, the guide gives you enough context about what you're trying to achieve that you can find the right setting yourself. We're also always happy to hear about inaccuracies via our contact page so we can fix them promptly.
Yes. The context you provide — your business description, team structure, goals — is used only to generate your guide. It is not shared with third parties, not used to train AI models, and not sold. If you use BYOK mode, your data goes directly to Anthropic's API under your own account, subject to Anthropic's privacy policy. If you use Hosted Pro, your context is processed securely and not retained beyond what's needed to generate and save your guide. Full details are in our Privacy Policy.
Not yet, but we add new tools every month based on demand. If there's a specific tool you'd like to see supported, drop us a message via the contact page — tools that are frequently requested move to the top of the list. We're a small team in beta, so the more specific you are about which tool and what you're trying to do with it, the more useful your request is to us. We'll notify you by email when your requested tool is added.
Your first guide is free. No credit card needed. Pick a tool, describe your business, and get clear-cut instructions back in under two minutes.
